Refund & Cancellation Policy

1. Overview

This policy outlines the cancellation and refund terms for all bookings made at Villa Valeria, operated by PT Triumvirate Business Development. By completing a booking, the guest acknowledges and agrees to the terms set out below.

We understand that plans can change. We encourage guests to review this policy carefully before confirming a reservation and to consider purchasing comprehensive travel insurance.

2. Cancellation Schedule & Refunds

Refund amounts are determined by the notice period provided before the scheduled check-in date. All cancellation requests must be submitted in writing via WhatsApp or email.

The remaining balance (if not yet paid) is waived for cancellations made more than 30 days before check-in. For cancellations within 30 days, the full booking amount is non-refundable.

3. How to Cancel

To cancel a booking, please contact us in writing via one of the following channels:

A cancellation is effective from the date on which written confirmation is received from Villa Valeria. Verbal requests or messages without written confirmation do not constitute a valid cancellation.

4. Refund Processing

Approved refunds will be processed within 14 business days of the cancellation confirmation. Refunds are returned to the original payment method used at the time of booking.

Any bank transfer fees, currency conversion differences, or credit card processing charges incurred during the refund are the responsibility of the guest and will be deducted from the refund amount.

5. Booking Modifications & Date Changes

Requests to change dates or modify a booking are subject to availability and must be submitted via WhatsApp or email. Villa Valeria will make reasonable efforts to accommodate changes wherever possible.

If the modified dates fall within a higher-rate period, the guest will be required to pay the difference. If the modified dates fall within a lower-rate period, no refund for the rate difference will be provided.

Bookings are non-transferable unless the original guest submits a written request with the new guest’s details, and the new guest agrees to these terms and conditions.

6. Early Departure

No refund or credit will be provided for unused nights in the event of early departure. The full booking amount remains due regardless of the actual length of stay.

7. Late Checkout Fees

Standard check-out time is 12:00 PM (noon). Late check-out is subject to availability and may incur the following charges:

  • Up to 3:00 PM: 25% of the nightly rate
  • Up to 5:00 PM: 50% of the nightly rate
  • Up to 7:00 PM: 75% of the nightly rate
  • After 7:00 PM: 100% of the nightly rate (full night)

Late checkout fees are non-refundable.

8. Force Majeure & Exceptional Circumstances

In the event that a stay cannot proceed due to circumstances beyond the control of either party — including but not limited to natural disasters, volcanic eruptions, pandemics, government-imposed travel restrictions, civil unrest, or infrastructure failures — Villa Valeria will work with the guest to find a suitable resolution.

Remedies may include:

  • Rebooking for alternative dates at no additional cost (subject to availability)
  • A full credit towards a future stay, valid for 12 months
  • A full refund of all payments made, where rebooking is not feasible

Villa Valeria shall not be liable for any additional costs incurred by the guest related to travel arrangements, flights, or third-party bookings.

9. Travel Insurance

Villa Valeria strongly recommends that all guests obtain comprehensive travel insurance prior to their trip. A suitable policy should cover trip cancellation, medical expenses, personal injury, medical evacuation, and loss of personal belongings.

The booking cost does not include any form of personal insurance. Villa Valeria is not responsible for any costs arising from the guest’s failure to obtain adequate insurance coverage.
